How to Set Up AI Booking on WhatsApp for Your Surf School, Spa, or Tour Business
A practical guide to automatic WhatsApp bookings — no coding, no dev team. Steps any business owner can follow to go live within a few days.
If you have ever searched "how to add a booking chatbot to WhatsApp," you probably found two very different types of answers.
On one end: technical tutorials requiring APIs, webhooks, servers, and at minimum a basic grasp of coding.
On the other end: no-code tools that promise a 10-minute setup — but turn out to only send static auto-replies, not actually process bookings.
What sits in the middle — an AI that can reply to guests on WhatsApp, check live slot availability, and confirm bookings automatically, without you needing to become a developer — that is rarely covered clearly.
This is a practical guide for business owners who want their WhatsApp to handle bookings automatically, step by step.
Before you start: what you need to prepare
Before any setup begins, clarify the following:
1. Your business WhatsApp number If you have not already, separate your business WhatsApp from your personal number. WA Business can use the same SIM, but ideally there is a dedicated business number — so the AI can run 24 hours without affecting your personal phone.
2. Your packages and pricing The AI needs to know what you are selling. Make a simple list: package name, duration, price, maximum capacity per session. This is what gets configured in the system.
3. Operating hours and available slots Which time slots are available? Maximum capacity per slot? Which days do you operate? This is the core information the AI needs to check availability accurately.
4. Confirmation rules Which bookings can be confirmed automatically? Arion default: slot available plus no special request equals auto-confirm. You can make this stricter or looser depending on your business.
Once these four things are clear, setup can begin.
Step 1: Set up the booking page and the system behind it
Before WhatsApp can process bookings automatically, a booking system needs to be running first. The AI active on WhatsApp is the interface — the system behind it is what actually creates and manages bookings.
With Arion, this is handled by the Arion team during onboarding:
- Setting up your package and capacity database
- Configuring your slots and operating hours
- Setting auto-confirm rules for your business
- Creating your public booking page (arion.id/your-business-name)
- End-to-end testing before going live
No coding required from you. The Arion team handles the technical setup — you simply provide the information about your packages, schedule, and business rules.
Step 2: Connect your WhatsApp number to the system
Once the booking system is ready, the next step is connecting your business WhatsApp number to Arion AI.
This is done together with the Arion team during onboarding. What you need to do:
- Confirm which business WhatsApp number you will use
- Follow the verification steps (usually scanning a QR code or logging in via WA Web)
- Run the first test conversation together with the team to confirm everything works as expected
After this, guests who message your number will be handled by Arion AI — not by a human admin for every single message.
Step 3: Configure the AI knowledge base
Arion AI does not only answer booking questions — it can also answer general questions about your business. But for that, it needs to know about your business.
In the owner dashboard, you can add and edit the knowledge base:
- Your business FAQ ("Where are you located?", "Is equipment provided?")
- Cancellation and reschedule policy
- More detailed package information
- Anything guests often ask that is not covered by the booking form itself
The more complete the knowledge base, the more accurate and helpful the AI will be in answering guests.
Step 4: Set up Telegram notifications
Arion sends owner notifications via Telegram — not via WhatsApp — so business notifications stay separate from your personal chats.
Setting up Telegram notifications:
- Install Telegram on your phone if you have not already
- Open a chat with @ArionNotifBot (or as instructed by the Arion team)
- Send /start to link your account
- In the owner dashboard settings, link your Telegram chat ID
After this, every new booking — whether from WhatsApp or the website — sends you a Telegram notification. For bookings that need your decision, the notification will include action options to confirm or decline.
Step 5: Test before going live
Before the AI starts handling real guests, test with realistic scenarios:
- Standard booking: guest asks about a slot, picks a package, provides details, receives confirmation
- Full slot: confirm the AI replies with an alternative slot, not an error
- Question outside booking scope: confirm the AI can answer configured FAQ
- Special request: confirm the AI escalates to you rather than confirming independently
- Test from WhatsApp: message your business number from a different phone to confirm the full flow works
Once everything runs as expected, the AI is ready for real guests.
How long until you can go live?
With Arion, the typical timeline:
- Day 1: Consultation, gather package and schedule information, begin system setup
- Day 2: Configuration, WhatsApp connection, knowledge base setup
- Day 3: Testing together, any adjustments needed, go live
Most businesses are live within 1–3 working days. No coding, no dev team, no lengthy integration project.
What to monitor after going live
Setup is not finished the moment you go live — a few things are worth watching in the first week:
- Escalation rate: What percentage of chats are being forwarded to you? If it is high, there may be common questions that need to be added to the knowledge base
- Completion rate: What percentage of conversations end with a booking created? If low, there may be friction in the conversation flow worth adjusting
- Response relevance: Read through a few completed conversations. Are the AI's answers relevant and helpful?
Arion AI can be reconfigured at any time — add FAQ, adjust tone, update auto-confirm rules.
